Medical Administrator

The Medical Administrator oversees the daily administrative functions at the clinic and ensures the smooth flow of patient services. This role supports clinical operations by managing schedules, handling patient inquiries, and maintaining accurate health records.

The ideal candidate is organized, detail-oriented, and understands the importance of confidentiality and professionalism in a medical setting. They are comfortable using booking software and are skilled at multitasking in a fast-paced environment.

Pay:

Starting wage of $22 per hour

Job Type:

Permanent Full Time

Shift and Schedule:

Monday to Thursday; Day shift with some evenings (2-3 per week)

In person; This position has two locations:

  • 10 Unit 2 Canadian Forces Drive, Petawawa, ON

  • 147 Pembroke St W, Pembroke, ON


Location:

Job Duties:

  • Greet and check in patients, verifying personal information

  • Schedule and confirm appointments using Jane clinic software

  • Respond to patient inquiries via phone, email, or in-person

  • Prepare and maintain medical records and files

  • Coordinate with physicians, nurses, and technicians for daily operations

  • Order and stock medical and office supplies

  • Maintain cleanliness and organization of the front desk and waiting area

  • Follow privacy and health regulations

  • Perform other related medical administrative duties as assigned

Administrative Duties:

  • Scheduling patient appointments, labs, referrals and follow ups

  • Creating quotes and follow up for Cosmetic Surgery Patients

  • Completing daily opening/closing procedures

  • Answering and routing phone calls

  • Greeting visitors and clients 

  • Conducting sales and cross promoting services in the Cosmetic industry


Financial Duties:

  • Processing payments

  • Billing

  • Invoicing and Paying physicians/surgeons

Qualifications:

  • Office Administration diploma or Medical Administration diploma or equivalent  

  • At least 2 years of experience in a medical office or clinic setting                    

  • Exemplary phone etiquette, with ability to handle multiple calls and tasks                       

  • Proficiency in using EMR systems and Google Workspace

  • Knowledge of medical terminology and healthcare processes

  • Autoclave certification is considered an asset 

  • Medical Device Reprocessing Technician (MDRT) certification is considered an asset

    • Candidates without certification are still encouraged to apply — training and certification support will be provided for the right candidate

  • French not required but is considered an asset
